VialTrack

A mobile inventory companion for Schild Lab with an icon logo and an eLabFTW-look interface. It sits next to eLabFTW so the owner can register containers, look them up, and print labels without treating the companion as the official record.

What it is

VialTrack is a small web app for day-to-day inventory work at the bench: scan or enter a container, register it, resolve it later, and print a QR or barcode label. It grew out of the open Inventory Scanner for eLabFTW work and runs as the named companion at Schild Lab, styled to sit beside eLabFTW rather than look like a separate product.

Who it is for

People working in Schild Lab who already use eLabFTW. It is built as a companion to that notebook and inventory, not as a replacement ELN or a general product for other labs. Live write access is owner-only for now.

Register, Manage, labels

Register can create a container without a mandatory manufacturer barcode. Manage resolves an existing item by its INV ID (scan or type). Print and reprint support QR and barcode label formats so the bottle and the record stay matched. An in-app Help wiki covers the flows — no TOC or GxP status chrome.

Inventory properties and catalog

Configurable inventory properties — CAS, formula, GHS / hazard codes, H/P clauses, molecular weight, density, and related fields — come from mapping the lab’s legacy Excel chemical-store spreadsheet (about 1,900 rows). The same store sheet can be imported through the catalog so existing stock lands in eLabFTW with those fields available in Register and Manage.

System of record

eLabFTW remains the system of record. VialTrack helps with scanning, registration, labels, and property capture; the authoritative inventory and experiment data stay in eLabFTW.

Current status

The project page and the Schild Lab deployment are live as an owner-only canary. GxP sign-off is not done. It is not claimed as GMP-compliant, validated, or production-ready — only as a controlled pilot the owner accepted with that risk in mind. A public read-only demo on this site uses synthetic data only; it is not the Schild Lab canary and does not touch real inventory.
